2.1 The Requirements:

The following assumptions were made when preparing the proposal – that;
a. Policies and procedures for Approvals are in place
b. A flowchart detailing the Approval lines, limits & authorizations is available
c. The Company is interested in streamlining its processes more efficiently and has decided to deploy the use of E-Approvals methods
d. Approvals and authorizations are enforced
e. The Company being what it is would spearhead the use of this solution to showcase its advancement in the science & technology sector
f. The Company is already technologically advanced especially in the use of advanced computer software & hardware.
g. Scanners would be used to scan documents at the originating stage
2.3 Needs Identification:
The Company has the following general needs;
Timely Approval of documents
Timely Processing of documents
Maintenance of the E-Approvals software
Authorisations & approvals limit
Overview of the approved Expenses
We have identified the following different potential solutions:
a) Computerised Systems
For this solution to be effective, it is expected that each level of approver and requestor through the process flow owns and operates a computer system.
3. Proposed Services
Our company intends to provide a platform which would offer the solution for the seamless approval processes;
For the instance where the Company currently owns a server, two different solutions are proffered:-
The software would be installed into the existing computerized server, or a remote server would be created.
The software and server would be maintained regularly by our company.
The stipulated process, procedures & policies for approvals would be followed to the letter in line with the flowchart & organogram provided
Documents would be scanned at the originating stage for on-forwarding to the authorized approver(s).
4. Strategy
Our Strategy, implementation plan & methodology in deploying this solution would be discussed at a later stage when interest is shown by your Company.
